Termination of the rent

If you wish to terminate your rental agreement, you must submit a notice that takes effect on the first day of a new payment period (the 1st of the month). A minimum notice period of one full calendar month applies.

You can terminate your rental agreement in writing or via email at [email protected].

Once we receive your termination request, you will receive a confirmation from us. This confirmation will include detailed instructions on the next steps and the required condition in which the property must be returned.

 

Stopping Rent Payments

If you have an automatic direct debit set up with HS Estate, it will automatically stop on the date your rental agreement ends. If you have arranged the rent payment directly through your bank, you must cancel the payment authorization yourself.

 

Water, Electricity, and Gas

You are responsible for terminating utility contracts (water, electricity, and gas) and submitting final meter readings to your utility providers. We also kindly ask you to provide us with the meter readings on the day of your departure when returning the keys.

 Security Deposit Refund

After a successful final inspection and return of the keys (including submission of meter readings), we will process the refund of your security deposit. The amount will be transferred to your bank account within one month.

Mail Forwarding

We recommend that you update your address with all relevant contacts in time. Once you have returned the keys, access to the property will no longer be possible. You may use PostNL’s forwarding service to ensure you continue receiving your mail.

 

Boiler or Heating System

If you have a rented boiler or heating system, you must cancel the subscription and arrange for its removal.

 

Bulk Waste Disposal

Please do not leave large waste items, such as wooden planks, furniture, or carpets, on the street. This can cause inconvenience for neighbors and is prohibited by law. The municipality provides free collection services, but you must schedule an appointment in advance.

Checklist after termination of contract

At the time of the final inspection, your rental property (apartment or room) must meet the following requirements:

 

General Removals

Unless taken over by the next tenant, the following items must be removed:

  • Nails, screws, and other fixtures from walls, floors, and ceilings. Any holes must be professionally and neatly filled.
  • Floor coverings, including parquet, tiles, vinyl, and underlay. The floor must be smooth and free of glue residue.
  • Sunshades, curtain rails, and brackets (including external window coverings). Any holes must be professionally repaired.
  • Nameplates, stickers, and adhesive decorations. Any damage caused by removal must be properly fixed.
  • Extensions and other structures in the garden or elsewhere. Any resulting damage must be repaired.

 

Keys & Locks
  • All interior door keys must remain in their locks.
  • All exterior door keys (front door, back door, balcony door, garage door, shed door, and storage unit) must be returned at the final inspection, including any duplicates. Keys must never be handed directly to the next tenant.

 

Electrical & Fixtures
  • All switches and sockets must be undamaged, unpainted, and in their original color.
  • Any additional electrical installations (such as loose cables along floors or skirting boards) must be removed.
  • The original doorbell must remain in place.

 

Walls, Ceilings & Paintwork
  • All ceilings must be in their original condition and painted white.

 

Garden & Outdoor Area (if applicable)
  • The original paved areas (path and terrace) must be intact and neatly arranged, with no missing or sunken tiles.
  • The garden must be well-maintained, free from holes where plants or shrubs have been removed.

 

Cleaning & Repairs
  • All cabinets, kitchen surfaces, sanitary facilities, and tiled areas must be cleaned and free of damage.
  • Locks, handles, and other hardware must function properly.
  • If the rental unit includes individual central heating, the following must be present:
    • Instruction manual or information sheet
    • Filling hose
    • Bleeding key
  • Damaged doors, walls, sanitary fittings, and taps must be repaired or replaced.
  • Tiles with holes or other damage must be replaced with identical tiles.

By following this checklist, you ensure a smooth final inspection and the timely return of your security deposit.
